Please only provide information that is accurate and relevant to your request.
How we use your information
We use personal information to:
- respond to enquiries and arrange visits or tours;
- set up, administer and support memberships;
- take payments and maintain financial records;
- provide safe access to our facilities and services;
- send service messages and, where permitted, relevant offers;
- prevent fraud, protect our members and keep our systems secure;
- meet our legal and regulatory responsibilities.
Our legal reasons for using it
We use information where it is needed to provide a service or fulfil a membership agreement, where the law requires it, where we have a legitimate business reason that does not override your rights, or where you have given consent. You can withdraw consent at any time.
Who we share information with
We do not sell personal information. Website data may be processed by Cloudflare, which hosts and secures the website, and Google, which supplies fonts and—only after analytics consent—Google Tag Manager and Google Analytics. Membership, payment and communications providers may process information when you use those services; their identity and terms are displayed at the point information is collected. Providers may only use information for the agreed purpose and must protect it.
We may also share information with professional advisers, insurers, regulators, law-enforcement bodies or other organisations where the law requires it or where it is necessary to protect safety or legal rights. See our Cookie Policy for the website technology list and retention periods.
International transfers
If a supplier processes information outside the United Kingdom, we will use an appropriate safeguard recognised by UK data protection law.
How long we keep information
- cookie-consent choices: 30 days;
- analytics identifiers: up to 2 years, where analytics is accepted;
- general enquiries and tour requests: up to 12 months after the matter is closed;
- membership and attendance records: for the membership period and up to 6 years afterwards where needed for contracts, disputes and financial records;
- payment and accounting records: 6 years after the end of the relevant financial year;
- complaints and incident records: normally 6 years after closure, or longer where a legal or safeguarding reason requires it.
Information is securely deleted or anonymised when the applicable period ends. A record may be kept longer where law, an active dispute, fraud prevention or someone’s safety requires it.
Your rights
Depending on the circumstances, you may ask us to:
- give you a copy of your personal information;
- correct information that is inaccurate or incomplete;
- delete or restrict the use of your information;
- transfer certain information to another provider;
- stop using information where you object;
- review a decision made solely by automated means.
To make a request, call us or write to the address above. We may need to confirm your identity. We normally respond within one month.
